TITLE: Major Campaign Assistant
STATUS: Non-Exempt, Full-Time

JOB PURPOSE AND REPORTING STRUCTURE:

  • This position reports to the Major Campaign Director
  • The Major Campaign Assistant provides office management, data management, volunteer coordination and clerical/logistical services in support of the PSO Major Campaign.
  • Volume and nature of work may change with the pace of the Campaign.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative assistance to the Director of the Major Campaign and Campaign staff as needed.  May include letter writing, telephone coverage, meeting and event coordination, daily outgoing mail, check requests, copying and filing.
  • Draft written correspondence, acknowledgements, solicitations, minutes and other documents as requested to meet the campaign needs.  Includes coordinating with Donor Relations on joint acknowledgements.
  • Manage the Major Campaign pledge reminder schedule to ensure that cash flow remains on schedule.
  • Manage Major Campaign data entry and run reports for gift tracking, event list management and direct mail in Tessitura; help with Annual Fund gift entry during times of high volume.  This position will work closely with the PSO’s Database Manager and the Coordinator of Individual Support.
  • Manage the Major Campaign master financial tracking document for finance and be the back-up person for Donor Relations reconciliation with Finance.
  • Manage the Major Campaign expense budget accurately and process all Campaign staff expenses.
  • Assist with Donor Research and gift cultivation plans; create any needed volunteer training materials
  • Manage recognition and naming opportunities for Major Campaign; includes managing the performance program book Campaign honor role and working with donors to choose their preferred naming opportunity.
  • All other duties as assigned

REQUIREMENTS

  • College degree preferred
  • Accuracy and attention to detail critical
  • Exceptional computer skills; proficiency in excel, word and using mail merge; knowledge of Tessitura preferred
  • Strong written, verbal and interpersonal skills
  • Organizational skills
  • Ability and willingness to work irregular hours when necessary.
