Shared Part-Time Bookkeeper (30 hours per week)

The Mattress Factory is a museum of contemporary art that exhibits room-sized works called installations.  Created on site by artists from across the country and around the world, these unique exhibition feature a variery of media that engage all of the senses. 

The New Hazlett Theater is a non-profit performing arts facility, with a mission to cultivate the arts and provide a venue for world-class cultural events, including theater, dance, performance-art, music, spoken word performances, and community events.

The Society for Contemporary Craft, located in the Strip District, showcases the best of national and international contemporary craft through high-quality exhibition, education and outreach programming.

Summary of Bookkeeper Position:  Maintains general ledger, including all cash receipts and accounts payable. Ensures accuracy of financial records.  Maintains employee and vendor files.  Completes/assists with month and year-end closes and yearly audit.  Bachelor’s degree in accounting or related field plus 5 years bookkeeping experience desired.  Non-profit experience preferred.  Good computer skills a must.  Part-time, approximately 10 hours per week at each organization.  Flexible schedule. 

Key Responsibilities:
Financial:

  • Track all grant activity in accordance with FAS116.
  • Monitor annual budget.

Cash

  • Enter all cash receipts into general ledger.
  • Prepare bank deposits.
  • Keep appropriate staff informed of cash position.

Accounts Receivable

  • Prepare invoices as required.
  • Maintain Accounts Receivable listing.

Accounts Payable

  • Enter accounts payable invoices into general ledger.
  • Review vendor statements and contact vendors regarding discrepancies.
  • Process checks.
  • Maintain vendor files.
  • Prepare and submit monthly sales tax & alcoholic beverage tax payments.

Month End Closing

  • Review data and prepare Adjusting Journal Entry (AJE) for the depreciation, accounts/contributions receiveable, deferred revenue, miscellaneous reclasses.
  • Reconcile and propose necessary entries for deferred revenue, deferred expense, accounts receivable, contrubutions receivable, refundable advances, miscellaneous liabilities.
  • Update and reconcile Temporarily Restricted schedule.

Yearly Responsibilities

  • Coordinate year-end close.
  • Coordinate audit requirements with outside auditors.
  • Work with appropriate staff to develop annual budget.

Board Relations:

  • Prepare reports for board review.

Development:

  • Track all grant and pledge activity.
  • Coordinate all financial requirements as they relate to grant proposals.
  • Ensure proper treatment of cash and pledges received.

Human Resources:

  • Maintain employee and subcontractor files
  • Ensure confidentiality of all employee, customer and vendor information
  • Comply with all policies and procedures.

Operations:

  • Perform periodic backup of accounting system
  • Observe safety and security procedures
  • Use equipment and materials properly.

Planning:

  • Work with staff to develop plans and improvements as they relate to each organization’s financial well-being

Programming:

  • Understand and stay current with programming initiatives, particularly as they pertain to finances

Other:

  • Perform other functions as required to ensure the success of each organization.

Physical Effort: Predominantly sedentary type position, however, may move about as necessary.

Education Equivalent: Bachelor’s degree in accounting or related field required.  

Previous Experience:  Minimum of five years bookkeeping experience desired.  Additional experience in non-profit business environment preferred. Good computer skills a must.
