Executive Office Manager, Housing Authority of the City of Pittsburgh – Pittsburgh, PA

SUMMARY:
This position provides managerial support to the Executive offices of the Authority.  Excellent verbal, written, and grammatical communication skills, exemplary analytical skills, mature interpersonal skills including tact and discretion, sound judgment, and strong administrative skills are required.

Associates Degree in business or business school graduate and a minimum of five years experience, preferably in an executive office environment, with emphasis in management and/or supervision or any combination of education, training or experience which results in the required skills, knowledge and abilities. Bachelor’s degree in related field preferred. Must be able to type a minimum of 50 wpm and be proficient in the use of Microsoft Office Software (Word and Excel essential). Must be willing to work overtime in evenings and on weekends.  Employment requires City of Pittsburgh residency.

DUTIES AND RESPONSIBILITIES:

  • Attend meetings in order to document proceedings.
  • Record minutes at monthly Board of Commissioner meetings.
  • Screen telephone calls and visitors; take complete accurate messages for the Executive Directors and staff members.
  • Conduct and prepare routine correspondence and memorandums.
  • Type and/or edit complex correspondence, reports, presentations, manuals and other communication material.
  • Organize and maintain records, data, logs and a complex filing system.
  • Assist in compiling and organizing materials for meetings and reports; assist in providing arrangements for meetings and special events; provide a variety of support services as needed.
  • Keep abreast of Executive Director’s schedule and assist in the advance preparation of material for meetings and presentations.
  • Order office supplies and equipment.
  • Deliver and pick-up various messages, materials, and documents as required.
  • Operate all office equipment effectively, including telephone, fax, copier, computer, etc.
  • Perform other management and administrative duties necessary to maintain an effective, efficient office environment.
