Administrative Assistant (part-time), Edge Associates - Pittsburgh, PA

Edge Associates is looking for a skilled Administrative Assistant who has the drive and energy to handle multiple office tasks in a fast-paced environment with minimal supervision.

Edge Associates is a diverse training, consulting and coaching group based in the East End of Pittsburgh. Edge specializes in helping organizations, businesses and individuals as they navigate the process of change.

The Administrative Assistant will report to and work closely with the President of Edge Associates. Major responsibilities include:

  • Maintain clear, systematic and reliable filing of all project, personnel and office files
  • Facilitate and monitor purchase and maintenance of office equipment, services and supplies
  • Serve as liaison to insurance, benefits, payroll, and other contractors and vendors
  • Manage and support incoming and outgoing communication
  • Make and monitor travel arrangements
  • Process and manage accounts payable, receivables, expense reporting, invoicing, banking and reporting
  • Work with accountants to facilitate timely and accurate tax filings
  • Provide typing and technical assistance with preparation of emails, proposals, presentations, reports and other written product
  • Work closely with the President on scheduling and tracking projects
  • Represent Edge Associates to clients, colleagues, and vendors in an informed, professional and courteous manner
  • Plan, coordinate and execute meetings and other events as need

JOB REQUIREMENTS :

  • Three years minimum experience in an administrative support position and at least a two-year degree in business or a related area
  • Proficiency in Microsoft Office applications and Quickbooks; facility in use of the Internet for research and marketing purposes; familiarity with local area networks; experience with web design or maintenance a plus
  • Organization, accuracy and thoroughness with detailed work.
  • Pleasant, energetic personality with a strong sense of teamwork
  • Ability to work with a minimum of supervision in a fast-paced environment
  • Good communication and interpersonal skills
  • Typing, editing and proofreading skills, including spelling, punctuation and grammar
  • Good with numbers
  • Maturity, reliability, honesty, and discretion in dealing with confidential financial records and client information

Hours are part-time, approximately 25 hours/week. Schedule is flexible, but must be coordinated with the needs of the office. The position is paid on an hourly basis at a rate commensurate with ability and experience.
